Legal FAQ
This page describes how Bookicorn manages legally relevant information. It is a description of the features, not legal advice. Whether a given piece of information is sufficient for your country, your legal form, and your offering can only be assessed by legal counsel or your tax advisor.
Where your consents are
Settings → Legal & Consents
There you'll find three documents with version, consent date, and the IP address the consent was given from:

Do I have to sign and return the DPA?
No. Consent is given digitally and happens when you set up your studio. It is recorded with version, timestamp, and IP address, and is legally binding in this form. There is no form to print, sign, and mail back. For your records, you can view the document on the same page at any time.
What happens when a version changes?
New versions get a new version number. The page then shows which version you accepted, and when.
Own terms and conditions for your customers
By default, the contract points on your booking page reference the platform terms and conditions. If you want to present your own terms and conditions to your customers, there is the Own Terms and Conditions addon for that.
Once it is active and you have added your terms, your own terms appear at every contract point: at course booking, guest booking, credit purchase, voucher, subscription, and in the embedded booking widget. If it is not active, the platform terms and conditions continue to apply.
You activate the addon in the Addon Store.
Small business regulation on invoices
The small business regulation is configured per invoice issuer, not per studio. Open Invoices → Invoice Issuer and edit the relevant entry.
- Enter the invoice issuer's location in the Country field
- Check the box for Small business
- Optional: enter your own wording in the free-text field
The legal basis follows the country, not the invoice language:

For countries without their own entry, no legal reference deliberately appears on the invoice. A wrong reference would be worse than none. If you need the correct wording for such a country, enter it in the free-text field. Free text always takes precedence over everything else.
Known limitation: On some invoice PDFs, the German sentence currently still appears even when a different country is entered. We are working on this. If you notice it, contact support and we will check your invoices and set up the correct wording.
E-invoicing and small business
Invoices from small businesses are issued without embedded e-invoicing data, since there is no requirement for this so far. All other invoices can be downloaded as a ZUGFeRD PDF.
The wording of the booking button
The wording of the buttons in the booking and purchase flow is fixed in the system and cannot be freely renamed. It follows the respective process, for example "Book now," "Book for $25," or "Pay now." The texts are available in all seven supported languages and are maintained centrally.
What you can freely set, on the other hand, are your own terms for offerings and instructors under Settings → General in the Terminology section. They affect headings and descriptions, not the wording of the buttons themselves.
If you need a specific wording for your market, write to us. That is a product decision we can make, not a setting you can adjust yourself.
