Plans, limits and trial
Every Bookicorn plan has limits: a booking quota per month, a number of addon slots and, on the Free plan, a limit on trainers and customers. This page explains the limits, how Bookicorn counts bookings and what happens when a limit is reached. Current prices are on the pricing page.
The limits of each plan
| Plan | Bookings per month | Addon slots | Trainers | Customers |
|---|---|---|---|---|
| Trial (14 days) | 100 | all regular | unlimited | unlimited |
| Free | 50 | 1 | up to 10 active | up to 50 |
| Starter | tiers from 50 to 2,500 | 3 | unlimited | unlimited |
| Professional | tiers from 100 to 2,500 | 8 | unlimited | unlimited |
| Premium | tiers from 200 to 2,500 | all regular | unlimited | unlimited |
| Enterprise | custom | all | unlimited | unlimited |
On Starter, Professional and Premium, you choose the tier of your booking quota yourself. The highest tier is 2,500 bookings per month. How the tiers work is explained under Pricing tiers and booking volume.
What counts as a booking
Bookicorn counts every booking on a session of your studio that isn't cancelled.
- Each person counts individually. A group booking with three people counts as three bookings. This also applies to companions who come along for free and to bookings made for other people.
- Free bookings count too. It doesn't matter whether the booking costs anything.
- Pending bookings count too, including booking requests you haven't confirmed yet.
- Cancelled bookings don't count, not even retroactively. Cancelling frees up the spot in the quota again.
- Bookings count in the month of the session, not the month of booking. If someone books in March for a session in May, it counts in May.
- Block bookings count via their individual sessions. A block with eight sessions counts eight times, spread over the months of the sessions.
- Guests without an account count like everyone else.
- Waitlist entries don't count. Only when someone moves up and the booking is created does it count.
When the booking quota is full
On paid plans Bookicorn doesn't block bookings. Your customers can keep booking even above the quota. On the Free plan your studio accepts up to 50 bookings a month. Once the limit is reached, customers see when booking: "This studio is not taking any more bookings this month. Please contact the studio directly." It works again the following month.
What happens instead:
- At 75 percent, 90 percent and 100 percent of the quota, you get an email, once a month per threshold.
- You see the current status on the dashboard and under Settings → Plan & Billing. From 90 percent it's highlighted, with the note "Overbooking is possible, nothing gets blocked."
- Bookings above the quota cost a price per booking, between €1.00 and €0.75 depending on the tier. The details and when billing starts are in Pricing tiers and booking volume. The tier doesn't change on its own.
If you regularly have more bookings, raise the tier under Settings → Plan & Billing with Adjust limit, or on the Free plan switch to a paid plan.
The trainer limit on the Free plan
On the Free plan, you can have up to 10 active trainers. If you add another one or activate an inactive one, the Manager shows "Limit for Trainers reached". Paid plans have no trainer limit.
The customer limit on the Free plan
On the Free plan, your studio can have up to 50 customers. Once the limit is reached, no new customers can join. Anyone who isn't yet a customer of your studio and wants to book or buy sees: "This studio isn't taking on new customers right now. Please contact the studio directly." Your existing customers keep booking as usual. Paid plans have no customer limit.
Addon slots
Every plan includes a number of addon slots for regular addons. Each activated regular addon uses one slot.
- If every slot is taken on a paid plan, you add further regular addons individually.
- The Free plan includes one slot. Once it's taken, every additional addon needs a bigger plan.
- Pay add-ons such as your own domain always cost extra, don't use a slot and require a paid plan.
The trial
After signing up, your studio has a 14-day trial. You don't need a credit card for it.
During the trial:
- you can activate and try out all regular addons in the Addon Store
- you have a booking quota of 100 bookings per month
- there's no limit on trainers and customers
Under Settings → Plan & Billing you can see how many days are left. You can already choose a paid plan during the trial.
What happens after the trial
If you haven't chosen a plan by the end of the trial, Bookicorn automatically moves your studio to the Free plan:
- The addons from your trial are paused. Their settings stay saved. Addons we explicitly gave you for free stay on.
- The limits of the Free plan apply: one addon slot, up to 10 trainers and up to 50 customers.
- Your data is kept in full: offerings, customers, bookings and credits.
If you activated addons during the trial, the Manager shows the plan selection the next time you open it, with the heading "Choose your plan". You have two ways from there:
- Choose a plan: In the plan's card, tap the button with its name, for example Start Professional. The summary opens right away. The plan takes over as many addons from your trial as it includes. You can adjust bookings and addons there with increase and change, but you don't have to. Continue to payment takes you to payment.
- Carry on with Free: Tap Continue with Free at the bottom. Free includes one addon: choose the addon you want to keep and tap Continue with Free again. The others are paused.
If you're not sure which plan fits, tap Not sure which plan fits? Ask us. Iris knows your studio and your trial and advises you right there.
In the app on iPhone and iPad you can't buy plans. There you only choose the addon that stays on the Free plan and tap Continue with Free.
You can swap the addon on the Free plan later in the Addon Store. If you choose a plan later, paused addons come back with their settings, as many as the plan includes.
If you already chose a paid plan during the trial, it simply continues.
Frequently asked questions
Does a group booking count as one booking or several? Several. Each person in the group is a separate booking and counts individually.
Do free bookings count towards the quota? Yes. Every booking that isn't cancelled counts, whether it costs anything or not.
Are bookings unlimited on Professional? No. On Professional you choose a tier between 100 and 2,500 bookings per month. Nothing gets blocked above it, though, and there's no extra charge per additional booking. For more than 2,500 bookings per month, there's Enterprise.
Are bookings blocked on the Free plan after 50 bookings? Yes. On the Free plan your studio accepts up to 50 bookings in the month of the session, after that only again in the following month. The Free plan also has the limit of 50 customers and 10 active trainers. Paid plans never block.
Does every booking above my quota cost extra? No. The tier, and with it the price, only changes if you change it yourself.
What happens to my addons after the trial? They are paused if you don't choose a plan, and their settings stay saved. On the Free plan you choose one that stays on. Your data is kept.
