How do refunds work in Bookicorn?
In Bookicorn, refunds run right along with the cancellation: when a booking paid online is canceled, the full amount goes back to your client automatically through Stripe or PayPal, and any credits used land back on their pack. If they paid on site or by bank transfer, Bookicorn creates an open refund for you to pay out yourself. When you cancel yourself, you decide whether money goes back.
- Who it's for
- For anyone who takes payments online and doesn't want to process cancellations by hand in the Stripe dashboard, and for studios with class packs, cash and bank transfer payments.
- What you get
- Refunds right from the cancellation, credits returned, tasks for cash and bank transfer, a cancellation invoice and a notice when a refund is stuck.
- What it costs
- Refunds are included in every plan, even the Free plan for €0. Stripe doesn't refund the fee of the original online payment, so it stays with you.
Processing cancellations by hand in the Stripe dashboard?
- I canceled, when will I get my money back?
- Do I get the class back on my card?
- I paid in cash, how does the refund work?
You cancel in the booking system, refund in the Stripe dashboard, add credits back by hand and write the cancellation invoice yourself. Something always gets lost along the way.
With the cancellation, Bookicorn automatically refunds online payments, returns credits and creates the cancellation invoice. Only cash and bank transfer payments remain open, and the Manager reminds you of those.

From cancellation to refund in one step
You cancel from the session, the booking list or the client profile. Bookicorn takes care of the rest in the same action.
- 1
Cancel the booking
Choose whether to refund automatically and whether your client gets an email, and add a reason if you like. You call off an entire session the same way.
- 2
Bookicorn refunds
Online payments go back through Stripe or PayPal, and credits to the pack they came from. Bookicorn turns cash and bank transfer payments into a task for you.
- 3
Document and email
If there's an invoice, Bookicorn creates the cancellation invoice and attaches it to the cancellation email. With the Waitlist add-on, someone moves up into the open spot.
What refunds can do in Bookicorn
One cancellation, every payment method: Bookicorn recognizes how the booking was paid and picks the right way back.
All featuresAutomatic through Stripe and PayPal
When a booking paid online is canceled, the full amount goes back to your client's payment method automatically, with Stripe and PayPal alike.
Credits back on the pack
Bookicorn returns credits used to the pack they were deducted from. You and your client see the return in the pack's history.
A task for cash and bank transfer
If your client paid on site or by bank transfer, you get a notification in the Manager with name and amount. You pay out the refund yourself. Unpaid bookings don't create a task.
You decide when canceling
When you cancel yourself, you choose for online payments between an automatic refund and none, such as when you settle it on site. Credits always come back.
Call off an entire session
When you call off a session, Bookicorn refunds all participants at once. Beforehand you see per person what goes back: amount, credits or a task for you.
Cancellations by your clients
If your client cancels within your cancellation deadline, the refund runs automatically in the same way. After the deadline, they can no longer cancel on their own.
Cancellation invoice and email
If the booking has an invoice, Bookicorn creates the cancellation invoice automatically. Your client gets a cancellation email if you like, with the cancellation invoice attached as a PDF.
When a refund is stuck
If your Stripe balance isn't enough, Bookicorn tells you and tries again automatically. If the card can no longer be credited, you get a note to refund another way.
