Calendar Sync

The Calendar Sync add-on automatically transfers all your course dates to your Google or Apple calendar. You no longer have to enter dates by hand. As soon as your calendar is connected, every course date appears as a calendar entry and every change is carried over automatically.

The add-on costs 9 EUR per month or 86.40 EUR per year and belongs to the Integration category.

Activation

  1. Open Admin → Settings → Add-on Store
  2. Search for Calendar Sync
  3. Click Activate
  4. The add-on is active immediately

Note: After activation, you can connect your calendar directly in the Add-on Store on the Calendar Sync page.


Connecting your calendar

After activation, you connect your calendar directly in the Add-on Store on the Calendar Sync page. Two options are available side by side: Google Calendar and Apple iCloud Calendar. In both cases, Bookicorn creates a dedicated, new calendar (named "Bookicorn" plus your studio name). Your existing calendars remain untouched.

Google Calendar

  1. Open the Calendar Sync page in the Add-on Store
  2. Click Connect with Google
  3. Sign in to your Google account
  4. Confirm the connection

Bookicorn only gains access to the calendar created specifically for this purpose, not to your existing private calendars.

Apple iCloud Calendar

For Apple, you connect your calendar with your Apple ID email and an app-specific password. This is not your normal Apple password, but a separate password that you generate at Apple.

  1. Open the Calendar Sync page in the Add-on Store
  2. Select Apple iCloud Calendar
  3. Follow the built-in setup wizard, which shows you step by step how to create the app-specific password at Apple
  4. Enter your Apple ID email and the app-specific password you generated
  5. Confirm the connection

Note: Two-factor authentication must be enabled on your Apple ID so that you can generate an app-specific password.


Trainers connect their own calendar

If your studio has Calendar Sync active, your trainers also see a "My Calendar" menu item in their area. There, a trainer connects their own calendar in the same way (Google or Apple).

Important: only the dates of the courses for which a trainer is responsible are transferred to that trainer's calendar - not all of the studio's courses. This way, every trainer sees only their own classes.

Example: trainer with their own calendar

Lena teaches two yoga courses per week at your studio. In her area, under "My Calendar", she connects her private Google Calendar. From now on, exactly those two courses appear in her phone calendar. Other trainers' courses do not show up for her.


What appears in the calendar

Each course date becomes a calendar entry. The entry contains the following details:

Cancelled dates are marked as "Cancelled" in the calendar.

Note: Since the names of the participants are shown in the calendar entry, pay attention to who has access to the connected calendar. Only share the calendar with people who are allowed to see this information.


Automatic updates

As soon as your calendar is connected, synchronisation runs automatically:

  • Right when you connect, all upcoming dates are transferred (up to 90 days in advance).
  • After that, every change to a date is carried over automatically: a new date appears in the calendar, a rescheduled date is updated, a cancelled or deleted date is adjusted accordingly. You do not have to do anything by hand.
  • "Sync again" button: for a manual full reconciliation, should you ever need it.

Sync direction

Synchronisation runs in one direction: from Bookicorn to your calendar. Changes that you make directly in the Google or Apple calendar do not flow back to Bookicorn. The authoritative place for your dates always remains Bookicorn.

Tip: Always manage your dates in Bookicorn. The connected calendar is purely a mirror, a change there has no effect on the booking system.


Disconnecting

There is a Disconnect button on the Calendar Sync page in the Add-on Store. After disconnecting, no new changes are transferred.

The dates already transferred and the calendar that was created remain in your Google or Apple account, they are not removed automatically. You can delete the Bookicorn calendar yourself in the respective calendar service if you wish.


Requirements

  • The Calendar Sync add-on must be active.
  • For Google: a Google account.
  • For Apple: an Apple ID with two-factor authentication enabled and a self-generated app-specific password.
  • Google and Apple iCloud are supported. Other calendars (such as Outlook) are currently not supported.

Frequently asked questions

Which studios is Calendar Sync worthwhile for? For studios and trainers who want to see their course dates in their usual calendar on their phone or laptop, without having to maintain them twice.

Does Bookicorn see my private appointments? No. Bookicorn creates a dedicated, new calendar and only gains access to that one. Your existing private calendars remain untouched.

What is an app-specific password? It is a separate password that you generate at Apple for a single application - not your normal Apple password. The built-in setup wizard shows you step by step how to create it. It requires two-factor authentication to be enabled on your Apple ID.

Are cancelled dates shown as well? Yes. Cancelled dates remain visible in the calendar and are marked as "Cancelled".

Can I change dates directly in the calendar? You can, but it has no effect. Synchronisation only runs from Bookicorn to the calendar. Changes in the Google or Apple calendar do not flow back. Always manage your dates in Bookicorn.

Are Outlook or other calendars supported? Not at the moment. Google Calendar and Apple iCloud Calendar are supported.

What happens to the dates if I disconnect? After disconnecting, no new changes are transferred. The dates already transferred and the Bookicorn calendar that was created remain in your account. You can delete this calendar yourself if you wish.
