Setting up your studio
After registration, it is time to configure your studio. These basic settings are important because they are used throughout the platform.
General Settings
Navigate to Settings → General to adjust the basic details of your studio.
Studio Information

| Studio name | The name of your studio (appears everywhere) |
| Description | Short description for the public profile |

| Phone | Contact phone number |
| Address | Location address |
| Website | Link to your website |
Upload a logo
- Click on the logo field
- Select an image file (PNG or JPG, max. 2 MB)
- The logo will be cropped automatically
- Save your changes
Tip: Use a square logo for the best display result.
Booking Settings
Under Settings → Bookings you configure how bookings work.
Booking window
The booking window determines how far in advance customers can book.
- Enabled: When active, customers can only book up to X days/weeks in advance
- Time period: Choose from 1 day to 12 months
- Example: "2 weeks" means customers only see courses within the next 14 days
Booking cutoff
The booking cutoff prevents last-minute bookings.
- Enabled: Bookings are blocked X hours/days before the course starts
- Time period: Typically 2-24 hours
- Example: "2 hours" means no booking is possible within 2 hours of the course start
Credit expiry mode
Choose how credits expire on their expiry date:
- End of day: Credits are valid until 23:59
- Exact time: Credits expire at the exact time of purchase
Email Settings
Under Settings → Email Templates you customize the automatic emails.
Available templates

| Waitlist | Spot on waitlist |

Editing a template
- Click on a template
- Edit the subject and content
- Use placeholders like
{name},{kurs},{datum} - Preview the result
- Save
Branding
Customize the appearance under Settings → General.
Theme colors
Bookicorn automatically adapts to your logo. You can also choose:
- Light mode: Bright design (default)
- Dark mode: Dark design
Instructor label
Choose how trainers are referred to in your studio:
- Trainer
- Instructor
- Teacher
This label appears everywhere in the interface.
Locations & Rooms
Before creating courses, set up at least one location.
Create a location
- Go to Locations
- Click New location
- Fill in:
- Name (e.g. "Main studio")
- Address
- Description (optional)
- Opening hours (optional)
- Save
Add a room
- Open a location
- Click Add room
- Fill in:
- Name (e.g. "Yoga room 1")
- Capacity (max. participants)
- Room type (Training, Yoga, Meditation, etc.)
- Save
