What is Group Booking?

The Group Booking addon allows your customers to register multiple people simultaneously in a single booking. Instead of separate bookings per person, everything is handled in one checkout process.

This is especially useful for:

  • Families – parents register themselves and their children together
  • Couples – two people, one booking, one checkout
  • Small teams or friend groups – e.g. for yoga, martial arts, or dance classes
  • Corporate workshops – multiple employees booking at the same time

Up to 8 people can be added per booking.


Activation

The addon is available via the Addon Store in your admin dashboard.

  1. Open Admin → Settings → Addon Store
  2. Search for Group Booking
  3. Click Activate
  4. The addon is active immediately – no restart required

Cancellable monthly.

Note: The addon applies to all classes in your studio. You cannot disable it for individual classes.


How Customers Make a Group Booking

For your customers, the booking process changes only slightly. After activation, an additional step appears in the booking flow.

  1. Customer selects the desired class and date
  2. A "Add more people" option appears in the booking form
  3. Customer enters the name and email address of each additional person
  4. Customer completes the booking (payment as usual)
  5. All registered people receive a confirmation email
Example: Family books a yoga class

Sabine books three spots in the Saturday class for herself, her husband, and her daughter. She enters all three names, pays once, and all three receive their own confirmation email with the class details.


Saved People for Regular Customers

Customers who regularly book for groups don't have to re-enter the details of their companions every time.

  • When entering a person for the first time, the system asks whether the person should be saved
  • On the next booking, saved people appear for quick selection
  • Customers can manage and delete their saved people in their Account Settings

Tip: Actively let your regular customers know about saving people – this speeds up the booking process considerably and reduces drop-offs.


Group Bookings in the Admin Dashboard

As a studio operator, you can clearly see group bookings marked in your booking overview.

Booking Overview

In the participant list of a class session you can see:

  • The lead booker (the person who completed the booking)
  • All guests in the group, indented below the lead booker
  • The total number of spots taken per booking

Cancellations

  • If the lead booker cancels, all people in the group are removed simultaneously
  • Individual people from a group cannot be cancelled separately

Note: This is an intentional design decision. Partial cancellations would create complex refund scenarios. If a customer wants to remove only part of the group, the entire booking must be cancelled and re-created.


Guest Confirmation Emails

Every person in a group booking automatically receives their own confirmation email, provided an email address has been entered.

The confirmation email contains:

  • Name of the class and the session
  • Time and location
  • Name of the lead booker (so guests know who made the booking)
  • Cancellation notice

Tip: You can customize the text of the confirmation email under Admin → Settings → Email Templates. Use the booking_confirmation_guest template for guests.


Capacity Planning and Tips

Plan for Enough Class Spots

When you allow group bookings, individual bookings can take up multiple spots. This can cause a class to fill up faster than expected.

Recommendation:

  • Check the maximum participant count for your classes regularly
  • Consider increasing capacity slightly for high-demand classes
  • Use the Waitlist (separate addon) as a safety net

Maximum Group Size

The maximum group size is 8 people per booking. This is the system-wide default and cannot currently be adjusted per class.

Tip: If you regularly have corporate bookings with more than 8 people, it's better to create dedicated corporate classes with direct communication via chat or email.

Combination with Other Addons

Group Booking works well in combination with:

  • Waitlist – if groups can no longer get in, they are automatically placed on the waitlist
  • Check-in System – all group members appear in the attendance list and can be checked in individually
  • Voucher System – vouchers apply per person, not per booking

Frequently Asked Questions

Can a guest cancel the booking themselves? No. Only the lead booker can cancel the entire group booking.

What happens if no email address was entered for some people? Only people with an email address receive a confirmation email. People without an email address are still correctly added to the participant list.

Are all group spots paid at the same time? Yes. The lead booker pays for all people in the group together at checkout.

Can I see which bookings are group bookings? Yes. In the booking overview and in the participant export, group bookings are marked as such.
