Subsidized Courses

The Subsidized Courses addon is meant for offerings that someone else pays for in full or in part, for example a health insurer or an employer. It unlocks two things:

• Internal packages: prepaid card packages that customers can't buy themselves. You assign them to customers manually.
• Note on invoice and confirmation: a text you add to each offering, for example "Course under § 20 SGB V, course ID 123".

Activate Subsidized Courses

1. Open Manager → Addon Store: app.bookicorn.net/addon-store.
2. Tap Subsidized Courses and then Activate.

The addon takes up one addon slot of your plan. You can find the price under Pricing.

If you then open the addon in the Addon Store, you see under Numbers how many Offerings with billing note and Customers with credit you have, plus the ways Go to offerings and Go to customers.

Create an internal package

An internal package doesn't appear on your booking page, in the customer app or in the customer area. Customers can't buy it; you assign it yourself.

1. Open Manager → Prepaid Card (the menu item carries your card term) and tap New Package, or open an existing package and tap Edit.
2. Enter name, credits, price and validity as for any package.
3. In the Basic section, switch on Internal package (admin only).
4. Save.

Without the addon, this spot shows a note pointing to the Addon Store. How to set up a package otherwise is explained under Create prepaid cards.

Assign an internal package to a customer

1. Open the customer under Manager → Customers.
2. In the credits section, tap Grant Credits manually.
3. Under Package template, choose the internal package. Name, credits and price are taken over.
4. Choose the Transaction type, for example Payment if the payer has already paid, or Manual credit.
5. Set Start & expiry and tap Grant Credits.

The customer then books with their credits as usual. Important: a card you grant this way doesn't take over any Category restrictions or Trainer restriction from the package. So the credits are valid for all offerings that can be booked with credits. No invoice is created when you grant credits manually.

Add a note on invoice and confirmation

1. Open the offering and tap Edit.
2. Open the Accounting section.
3. Enter your text under Note on invoice and confirmation, for example "Course under § 20 SGB V, course ID 123".
4. Save.

The note then appears on every invoice for this offering below the first item and in the booking confirmation. This way health insurers and payers read the course number and section right next to the service. This also applies to blocks.

Frequently asked questions

Can a customer buy an internal package themselves? No. Internal packages aren't on your booking page, in the customer app or in the customer area.

How does a customer get the credits from an internal package? You grant them in the customer profile with Grant Credits manually and choose the package as the Package template.

Does the package's category restriction also apply to assigned cards? No. Cards you grant manually don't take over any restrictions from the package.

Does my customer see the note? Yes. It appears on the invoice below the first item and in the booking confirmation.

Does Bookicorn issue attendance confirmations for the health insurer? No, there's no attendance confirmation or attendance certificate.

Are there collective invoices for companies? No. Bookicorn creates invoices per purchase or booking.
