Language of the Interface and of Emails
Bookicorn is fully available in seven languages: German, English, Spanish, French, Italian, Dutch, and Polish. This applies to the admin area, your booking page, and all automatic emails. You never have to translate an email template by hand.
Three languages that work independently of each other
| Setting | Where | Affects |
|---|---|---|
| Studio language | Settings → General, Regional Settings section | Booking page, default language of all your studio's emails |
| Your display language | Settings → General, interface language selector | Only your own view of the admin area |
| Customer's language | Taken from the page's language when the account is created. The customer changes it themselves in their profile or via the language selector once logged in | The emails that this one customer receives |
These three being separate is intentional: you can run the admin area in German while your studio presents itself in Dutch to the outside world, and a French guest gets their confirmation in French.
Changing the studio language
- Open Settings → General
- Go to the Regional section
- Under Language, choose the desired language
- Save the section
The same section also holds country, timezone, and currency. They are saved together, so check all four values before saving.
Which language an email gets
The order is always the same:
- The recipient's language, if their account has one
- otherwise the studio language
- otherwise German
It follows that: if your test emails arrive in German even though the studio is set to Dutch, it is almost always the recipient account. An account created before the change still carries the old language. New customers automatically inherit the language from the page they sign up through.
The email texts themselves are already fully available in all seven languages. There is no switch that translates them, because there is nothing to translate: the matching version is selected at the time of sending.
Your own text in the templates
Under Settings → Email Templates you can customize templates. What you write there yourself is exactly one text and is not automatically carried over into the other languages. As long as you don't overwrite a template, the built-in, multilingual version applies. So only customize the templates where your own wording matters more to you than multilingual support.
Your own terminology also appears in the emails: if you call your offerings "Sessions" and your instructors "Therapists," those words appear in the emails too. You configure this under Settings → General in the Terminology section.
Sender and the "sent by" notice
When sending, your studio's name appears as the sender name, and your studio address is set as the reply-to address. Replies from your customers therefore land with you.
The technical sender address is always an address on mail.bookicorn.net. This is why some email programs display an addition like "sent by" or "via". This is not an error and not a sign of missing setup, it is a consequence of us handling delivery on your behalf and ensuring deliverability through our verified domain.
An important distinction: the Custom Domain addon concerns the address of your booking page, for example book.your-studio.com. It does not change email delivery and does not remove the addition.
When a customer gets the wrong language
The language is tied to the customer's account, and that account belongs to them. Only they can change it themselves: in their profile or via the language selector while logged in. From the next email onward the new language applies, emails already sent do not change.
So ask the customer to change their language in their profile. If you're unsure whether an existing customer has a language set at all: if the email arrives in the studio language, none is set, and your studio's default language applies.
Frequently asked questions
Do I need a separate booking page for each language? No. Your booking page appears in the studio language, and visitors can switch the language.
Can I use a language that isn't on the list? No. It is exactly the seven languages named above. Free-form text that you write yourself can of course be written in any language.
Does changing the studio language change my own text? No. Descriptions, templates, and studio content you wrote yourself stay as they are. Only the built-in texts change.
