Legal: terms, DPA and privacy
This page explains which documents you agreed to with Bookicorn, where to find them and how to get the Data Processing Agreement (DPA) for your records. It describes the features and is not legal advice.
View your consent to the terms, DPA and privacy policy in the Manager
You find your consents under Manager → Settings → Legal, directly at app.bookicorn.net/einstellungen/rechtliches. In the settings overview, the entry is called Legal & Consents. Only admins can open the page.
It lists three documents:
- Terms and Conditions (T&C): your contract with Bookicorn.
- Data Processing Agreement (DPA): the processing of personal data on your behalf under Art. 28 GDPR.
- Privacy Policy
Below each document you see the version and the date and time of your consent. If a consent is missing, it says "Not accepted". Below that, you see the IP address your studio was registered from ("Registered from IP").
If you tap a document, its full text opens on bookicorn.net in the language of your booking page.
When you agreed to the terms, DPA and privacy policy
You agree to all three documents when you sign up. There you find the checkbox "I accept the Terms of Service, the Privacy Policy and the Data Processing Agreement" with links to Terms, Privacy and Data processing. Without ticking it, you can't create a studio. The time of your consent is saved and shown under Settings → Legal.
Do I have to sign and return the DPA?
No. You don't have to download, sign and return the Data Processing Agreement. You agreed to it digitally when you signed up, and the time is shown under Settings → Legal. There's no form to sign.
The DPA is concluded between Unicorn Factory Media GmbH (the operator of Bookicorn) and you as the studio operator. It applies for the duration of your user agreement. According to the contract, changes to the DPA require text form, so an email is enough.
Download the DPA as a PDF
Here's how to get the DPA as a file for your records:
- Open Settings → Legal and tap Data Processing Agreement (DPA). Alternatively, open bookicorn.net/en/privacy?tab=avv.
- Click Save as PDF at the top.
- In your browser's print dialog, choose "Save as PDF" as the destination.
The website's header, footer and tabs don't appear in the PDF. The DPA also lists Bookicorn's sub-processors with their location and purpose.
Terms for your own customers
The terms under Settings → Legal govern your contract with Bookicorn. Without any further setup, your customers' bookings are covered by the terms of the Bookicorn platform.
You add your own terms for your customers with the Custom Terms addon from the Addon Store. As soon as it's active and you've published your terms, your customers agree to your terms when they book and buy. Instructions: Custom Terms.
Imprint, privacy policy and terms on your booking page
The footer of your booking page has two columns with legal links:
- Legal: your studio's Imprint, Privacy, Terms and Cookie settings.
- Bookicorn: Bookicorn's Imprint and Privacy.
If you don't have your own terms via the addon, the terms page of your booking page states that the terms of the Bookicorn booking platform apply to bookings.
Privacy notice for widgets on your website
If you embed Bookicorn widgets on your own website, the Manager offers a ready-made snippet for your privacy policy. You find it with the embed code of an integration under Privacy policy snippet with the Copy snippet button. More under Embed widgets.
Frequently asked questions
Where do I find the DPA? Under Settings → Legal. Tap Data Processing Agreement (DPA) and the full text opens.
Do I have to sign the DPA and send it back? No. You agreed to it digitally when you signed up. The date is shown under Settings → Legal.
How do I get the DPA as a PDF? Open the DPA and click Save as PDF. Your browser then saves the page as a PDF.
Where do I edit the terms? You can't edit Bookicorn's terms. You create your own terms for your customers with the Custom Terms addon.
Why does a document say "Not accepted"? No consent is saved for this document. Write to us at hey@bookicorn.net and we'll sort it out.
