Own Terms and Conditions

With the own T&Cs add-on, you replace the Bookicorn platform T&Cs with your own general terms and conditions. Your customers automatically agree to your terms and conditions - with every booking, credit top-up, voucher redemption or subscription activation.

Where you maintain the GTC

You will find the editor in the admin area under "Settings → T&Cs" as soon as the add-on is activated.

Editor

The GTC content is maintained in a Rich-Text-Editor. You can:

Headings (H1, H2, etc.)
Lists (ordered and unordered)
Bold and italics
Links
Paragraphs and separators

Content is stored internally in two formats: once as structured lexical content (for display) and once as plain text (for search and hash creation).

Multilingualism

For each language (DE/EN/ES/FR/IT) you can store a separate version of the terms and conditions. When booking, the customer automatically sees the GTC in their language. If no T&Cs exist for a language, there is a fallback to the platform T&Cs.

Versioning

Each publication creates a new version:

version number (1, 2, 3, ...)
Content hash (unique fingerprint of the content)
Language (locale)
Creation timestamp

If you change content but the hash remains the same (for example, only whitespace changes), the system recognizes "no change" and does not create a new version.

You have a draft function: You can save changes without publishing them immediately. The draft takes precedence over the current version until you publish.

Automatic integration

As soon as the addon is active and at least one GTC version is published, the GTC checkbox is automatically attached:

Booking modal (every course booking)
Guest booking (even without an account)
Credit top-up (buy packages)
Voucher redemption
Member access
Embed widget bookings

You don't have to add anything manually.

Fallback to platform T&Cs

If you have not activated the addon or no T&C version exists for the user language, the current Bookicorn platform T&C will be displayed automatically. This means you can enter step by step without interrupting bookings.

Legally compliant storage of consents

Each individual consent is recorded in the database with:

Reference to the exact GTC version (via the version ID)
User ID (for logged-in customers) or Guest email (for guest bookings)
Consent context (e.g. "booking", "credit_purchase", "voucher_redeem")
Link to the specific booking or order
IP address
Timestamp

This allows you to prove at any time which customer agreed to which version of the terms and conditions at which time - important in the event of legal disputes at a later date.

GDPR notice

The addon only replaces your own terms and conditions. Bookicorn's privacy policy remains active (because Bookicorn processes data as a software provider). If you need additional privacy notices (e.g. photo consent for yoga classes), you can add them to your own terms and conditions.

Recommendation

Useful if:

You want to make individual cancellation periods, house rules or liability clauses legally binding
You want to conclude a direct contract with your customers as a studio
You have international customers and want to be legally compliant in their language

Ideally, have the content of your terms and conditions checked by a lawyer. Bookicorn only provides the technical infrastructure, not the content.
