Bookicorn lets you communicate directly with your customers by email.

Automatic Emails

The system sends automatically for:

  • Booking confirmation
  • Booking reminder
  • Cancellation confirmation
  • Password reset
  • Credit purchase
  • Credit expiry warning

Email to a Single Customer

Step by Step

  1. Go to Customers
  2. Find the customer (search or filter)
  3. Open the action menu (three dots)
  4. Click "Send email"
  5. Fill in the modal:
    • Subject: Meaningful subject line
    • Message: Your text
  6. Click "Send"

Confirmation

After sending, a toast appears:

"Email was sent to max@example.com"

Email to Multiple Customers

Bulk Send

  1. Go to Customers
  2. Enable multi-select (checkboxes)
  3. Select the desired customers
  4. The floating snackbar appears at the bottom
  5. Click "Send email"
  6. Fill in subject and message
  7. Send

Recipients Display

In the modal you can see:

  • Number of recipients
  • Names of the selected customers

Sending a Password Reset

Individual

  1. Open customer detail
  2. In the "Profile" tab
  3. Click "Send password reset"
  4. Confirm in the dialog
  5. Customer receives email with reset link

What Does the Customer Receive?

Subject: Reset password – [Studio name]

Hi [First name],

you have requested to reset your password.
Click the following link to set a new
password:

[Link]

The link is valid for 24 hours.

Email Templates

System Templates

Under Settings → Email Templates you can customize templates:

Editing Templates

  1. Go to Settings → Email Templates
  2. Select the template
  3. Edit:
    • Subject
    • Content (with rich text editor)
  4. Use variables:
    • {{vorname}} – Customer first name
    • {{kurs_name}} – Course name
    • {{datum}} – Booking date
  5. Send a test email for preview
  6. Save

Global Email Settings

Configure Sender

Under Settings → Email Templates → Settings:

Logo and Branding

  • Logo: From your branding settings
  • Primary color: For buttons and accents
  • Logo position: Header, footer, or both

Text that appears in all emails:

  • Header: e.g. greeting
  • Footer: e.g. contact details, legal notice

Newsletter

Not Currently Available

Bookicorn does not currently offer an integrated newsletter feature. For newsletters, use:

  • Mailchimp
  • Sendinblue
  • CleverReach

Tip: Export customer data (CSV) and import into a newsletter tool.

Viewing Sent Emails

All emails are logged:

Permissions

Who Can Send Emails?

  • Admin: Always allowed
  • Trainer: With send_emails permission

Granting Permission

  1. Go to Trainers → [Name]
  2. Tab "Permissions"
  3. Enable "Send emails"

Frequently Asked Questions

Why is my email ending up in spam?

Possible causes:

  • Sender email not verified
  • Content looks like spam
  • Too many links

Solution:

  • Use a professional sender address
  • Avoid spam words
  • Keep emails short and relevant

Can I send attachments?

Not currently. Use links to files (e.g. Google Drive, Dropbox).

Is there a sending limit?

Yes, depending on your plan. Standard: 1,000 emails/month.

How do I see if emails were read?

Tracking (open rate) is not available for privacy reasons.
