Vouchers, gift vouchers and discount codes

With the Vouchers addon, Bookicorn has three kinds of vouchers:

You activate the addon in the Addon Store. After that, the Vouchers menu item with these three sub-items appears in the Manager.

Offer gift vouchers for sale

Gift vouchers are offerings that customers can buy on your booking page. There are two types:

• Value voucher: a fixed amount of money. The recipient redeems it when paying.
• Credit voucher: a number of credits. The recipient gets them credited to their account.

This is how you create a voucher offering:

1. Open Manager → Vouchers → Gift vouchers: app.bookicorn.net/gutscheine.
2. Tap Create voucher.
3. Choose the Voucher type: Gift voucher (the value voucher) or Credit voucher.
4. Optional: Name (optional), for example "Gift voucher".
5. Under Preset amounts, enter the amounts customers can choose from, comma separated, for example "25, 50, 100". For the credit voucher, these are the numbers of credits.
6. With Allow custom amount, customers may choose their own amount between Minimum and Maximum.
7. Only for the credit voucher: Price per credit. The purchase price is then the credits times this price.
8. Choose the Format: Horizontal (landscape) or Vertical (portrait).
9. Set the Validity (months). The default is 36 months. In Germany, the statutory limitation period of 3 years applies to gift vouchers, and shorter periods may be invalid.
10. Optional: Only for selected offerings and Only for selected categories. Leaving them empty means the voucher is valid for everything. The restriction is shown at purchase and checked at redemption.
11. Optional: Allow purchase without account (guest purchase). For this you need the Guest Booking addon.
12. Choose the default design under Design. At the top you see a preview of the PDF, below it the designs as tiles. With Customers choose from all designs, every design is available at checkout. If you switch it off, tap the ones customers may choose under Allowed designs.
13. Leave Offer active switched on and save.

Which designs are available at all is something you set studio-wide under Manager → Settings → General in the Voucher designs section. At least one design must stay active.

Voucher designs

Bookicorn comes with 19 designs. The designs without a fixed theme use the colour of your booking page, the occasion and season designs have their own colours.

Every design comes in landscape and portrait. The preview in the Manager and on your booking page shows exactly the PDF the customer receives.

Upload your own designs

You can use your own image as a voucher design, for example a photo of your studio:

1. In a design selection, tap the Own design tile. This works in the voucher offering, in Issue voucher and for code batches.
2. Choose an image of up to 5 MB. Ideal is A5 with 2480 × 1748 pixels in landscape or 1748 × 2480 in portrait. Whether the design is landscape or portrait follows from the image.
3. Bookicorn opens the Own design sheet. Enter a Name and set where the Info panel with amount, code and validity sits: Left, Centre or Right. Under Panel, choose Light or Dark, whichever reads better on your image.
4. Tap Save.

If the image is small, Bookicorn shows the note The image is small: below 1240 pixels on the long side the print may look blurry. The pencil icon under the tile opens your own design again to change or delete it. Vouchers already sent keep their image even after deleting. Offers that had the design as default switch to Standard.

Own designs are part of the Vouchers add-on. Customers see them at checkout if the offering allows all designs or the own design is selected under Allowed designs.

Where customers buy gift vouchers

Customers buy gift vouchers on your booking page. For this, you need the Vouchers block there:

1. Open Manager → Settings → My Booking Page.
2. From the Widget library, add the Vouchers block from the Payment & conversion group.

At purchase, the customer chooses the amount or credits and a design, optionally enters the name of the recipient and a personal message, and gives their own name and email address. If you have the Invoicing System addon, Bookicorn also asks for the billing address. The buyer receives the voucher as a PDF by email.

Gift vouchers can't be bought in the customer app. There they can only be redeemed.

How customers pay for gift vouchers

Gift vouchers use your studio's payment methods under Settings → Payment methods: Stripe, PayPal, bank transfer and payment on site, as long as you haven't switched them off. There is no separate selection per voucher offering.

• With Stripe and PayPal, the voucher is valid immediately after payment and is sent out.
• With bank transfer and payment on site, the voucher is also valid immediately and is sent out immediately, together with the payment details. You confirm that the payment has arrived later under Manager → Transactions with Confirm payment. With Cancel order, you void the voucher as long as it hasn't been used yet.

If you have a default invoice issuer, an invoice is created for every voucher purchase.

How gift vouchers are redeemed

• Value voucher: the recipient enters the code in the Voucher code field when paying for a booking or buying a prepaid card and taps Redeem. The amount is deducted from the price. If something is left over, they can redeem the rest on later purchases until the voucher is used up.
• Credit voucher: the recipient redeems the code in the customer app or in the customer area under Redeem voucher code, or directly in the Voucher code field when paying for a booking. The credits land in their account, and at checkout paying with credits is selected right away. They do not need an account for this: if they book as a guest and the code covers the booking, it shows Redeemed with your booking, and the code is redeemed when they book. A credit voucher can be redeemed once.

If someone tries to redeem a value voucher under Redeem voucher code, Bookicorn shows: "This is a value voucher. Enter the code directly when paying for a booking."

Give a customer a voucher

You can give a customer a gift voucher yourself:

1. Open Manager → Customers and the customer.
2. Open the Vouchers section and tap Issue voucher.
3. Under Source, choose Choose from offerings or Create freely with type and value.
4. Choose a design under Design. For an offering, the designs it allows are available. For a free voucher, you also choose the Format.
5. Optional under Personal: For (name on the voucher) and a Message of up to 400 characters. Both appear on the voucher.
6. Under Payment, choose Already paid, Payment pending with a payment method, or Issue for free.
7. Tap Issue.

The preview shows the voucher while you put it together. The customer receives the same email with PDF as with a self-purchase.

If you tap a voucher in a customer's Vouchers area, Open PDF opens the PDF exactly as the customer received it.

Create discount codes

You issue discount codes yourself, for example for promotions:

1. Open Manager → Vouchers → Discount codes: app.bookicorn.net/rabattcodes.
2. Tap New discount code.
3. Basic information: the Voucher code, for example "SOMMER20", or have one generated with New, a Name and optionally an internal Description.
4. Type & value: Percentage discount or Fixed amount / Gift voucher and the value. With a fixed amount, you can Allow partial redemption: the amount is then kept and can be redeemed across several bookings.
5. Valid for: Valid everywhere, Credit purchases only or Direct payments only.
6. Validity & limits: Valid from, Valid until, Max. total redemptions, Max. per customer and Minimum order value.
7. Restrictions: Specific customers only, Specific classes only, Specific categories only, Specific credit packages only. Leaving them empty means the code is valid for all.
8. Leave Voucher active switched on and save.

Deactivated discount codes can't be redeemed. Customers enter the code in the Voucher code field when paying.

Manage discount codes and purchased vouchers

The list under Discount codes shows your discount codes and also the gift vouchers customers have bought from you, with code, value, redemptions and validity. Purchased vouchers are marked, and those with an open payment show Payment pending.

When you tap an entry in the list, you can, among other things:

• copy the code with Copy or the link with Copy redeem link
• Edit, Activate or Deactivate
• Send via email: send the code to selected customers, with a personal message
• Refund: refund and deactivate a voucher bought via Stripe, as long as it's unused
• Delete

Code batches for partners and campaigns

A code batch is many single-use codes at once. When redeemed, each code adds a fixed number of credits as a prepaid card.

1. Open Manager → Vouchers → Code batches: app.bookicorn.net/gutschein-stapel.
2. Tap Generate codes.
3. Enter a Name, the Credits per code, the Number of codes (1 to 500) and Valid until.
4. Optional: Offers. Empty means the codes are valid for all offerings.
5. Choose a design from the tiles under Design, for the built-in designs also the Orientation, and tap Generate.

In the batch, you download all codes with Download CSV or Download PDF. Tapping a code copies its redeem link. Under Redeemed, you see how many codes have already been used.

The customer redeems a code via the redeem link on your studio page or enters it in the Voucher code field when paying for a booking. Via the redeem link they sign in or create an account, and the credits land in their account. At checkout it also works as a guest without an account if the code covers the booking: it is then redeemed with the booking. If the batch only applies to certain offers, the code can only be redeemed at checkout for those offers.

With Deactivate, all codes not yet redeemed become invalid, while credits already granted stay. Delete is only possible as long as no code has been redeemed yet.

Frequently asked questions

Where can customers buy value vouchers? On your booking page through the Vouchers block. This requires the Vouchers addon and at least one active offering under Vouchers → Gift vouchers.

What's the difference between a value voucher and a credit voucher? A value voucher is an amount of money that is deducted when paying. A credit voucher adds credits to the recipient's account.

Can a value voucher be redeemed in several steps? Yes. A purchased value voucher keeps its remaining value until it's used up.

My customer bought a voucher by bank transfer. Is it already valid? Yes. The voucher is valid immediately and has been sent. You only confirm that the payment has arrived under Transactions.

How long is a gift voucher valid? As long as you set in the voucher offering under Validity (months). The default is 36 months.

Can I use my own image as a voucher? Yes. In a design selection, tap Own design and upload an image. Amount, code and validity appear in an info panel on top of your image.
