Creating Customers

This guide shows you how to manually create new customers in your studio.

When to Create Manually?

Typical Scenarios

  • Walk-in customers: Someone comes to the studio and wants to book immediately
  • Phone registration: Customer calls in and doesn't have an online account
  • Voucher recipients: You create an account for a gift voucher
  • Corporate customers: Employees of a partner company
  • Migration: Import from an old system

Self-Registration

Normally customers register themselves:

  • Through your website
  • When purchasing their first credit package
  • When booking their first course

Step-by-Step Guide

1. Open the Customer Area

Navigate to Admin → Customers.

2. Create a New Customer

Click "Add customer" (plus button).

3. Fill in the Form

The modal has 3 tabs:

Tab 1: Personal

4. Save

Click "Create". The customer receives:

  • An account in your studio
  • Optional: Invitation email with password link

After Creating

Setting a Password

The customer must set their own password:

  1. Open the customer detail
  2. Click "Send password reset"
  3. Customer receives email with link
  4. Customer sets their own password

Adding Credits

If the customer should receive credits immediately:

  1. Open customer detail → Tab "Credits"
  2. Click "Add credits"
  3. Select package or manual amount
  4. Save

Email Validation

Duplicate Check

The system automatically checks:

  • Email already in the system?
  • Email format valid?

Error for Duplicate

"A customer with this email address already exists."

Solution: Search for the existing customer instead of creating a new one.

Invitation Links

Alternative to Manual Creation

Instead of creating customers manually:

  1. Go to Marketing → Invitations
  2. Create a new invitation link
  3. Configure:
    • Bonus credits
    • Validity
    • Max. uses
  4. Share the link with the customer

Advantage: Customer registers themselves, data is correct.


Import (CSV)

Mass Import

For many customers at once:

  1. Export customer data from old system as CSV
  2. Go to Customers → Import
  3. Upload CSV file
  4. Map columns to fields
  5. Start import

Required fields: vorname, nachname, email


Frequently Asked Questions

Can the customer edit their profile themselves?

Yes, in the customer dashboard under Profile they can:

  • Change name
  • Change email (with confirmation)
  • Change phone
  • Change address

What if the email is wrong?

The customer cannot log in. You can correct the email in the admin area.

Can I delete customers?

For data protection reasons, customers can only be deactivated. For GDPR requests, contact support.

Can I transfer customers between studios?

No, each studio has separate customer data. Customers can, however, be registered in multiple studios (same email).
