Activation Modes

The activation mode determines when purchased credits become available. There are three modes.

Overview

Mode 1: Immediately

How does it work?

• Customer purchases a package
• Credits are immediately available
• Validity starts from the time of purchase

Example

Package: 10 credits, valid for 3 months, activation: Immediately

Purchase: Jan 15, 2025 at 2:30 PM
→ Credits immediately available
→ Valid until: Apr 15, 2025

When to use?

• Standard for most packages
• Customers who want to book right away
• Regular credit packages

Advantages

• Easy to understand
• No waiting time
• Clear communication

Disadvantages

• No flexibility on the start date
• Validity "is already running"

Mode 2: First use

How does it work?

• Customer purchases a package
• Credits are not yet active (status: "Pending")
• Credits are activated on the first booking
• Validity starts from that first booking

Example

Package: 10 credits, valid for 3 months, activation: First use

Purchase: Jan 15, 2025
→ Credits visible, but status "Pending"

First booking: Mar 1, 2025
→ Credits are activated
→ Valid until: Jun 1, 2025 (3 months from activation)

When to use?

• Gift vouchers: Buyer and user are different people
• "10-class cards": Valid from first use
• Undecided customers: Want to purchase now, use later

Advantages

• Flexible for the customer
• Perfect for gifts
• Validity only starts upon use

Disadvantages

• Slightly more complex to understand
• Unused packages remain "open"

Mode 3: Fixed date

How does it work?

• A fixed start date is defined for the package
• Credits are automatically activated on that date
• Validity starts from that date

Example

Package: "January Special", 15 credits, valid for 2 months
Activation: Fixed date (Jan 1, 2025)

Purchase: Dec 15, 2024
→ Credits visible, but status "From Jan 1, 2025"

On Jan 1, 2025:
→ Credits are automatically activated
→ Valid until: Mar 1, 2025

When to use?

• Seasonal packages: "Summer special from Jun 1"
• New Year promotions: "Start the new year!"
• Pre-sales: Packages for future periods

Advantages

• Perfect for marketing campaigns
• Customers can purchase in advance
• Clear start date

Disadvantages

• Customer cannot use credits before the date
• Only useful for special occasions

Typical package configurations

Standard packages:

10-class card: Immediately, 3 months
25-class card: Immediately, 6 months
50-class card: Immediately, 12 months

Flexible packages:

Flex 10: First use, 3 months from activation
Gift voucher: First use, 6 months from activation

Campaign packages:

Summer special: Fixed date Jun 1, 3 months
New Year package: Fixed date Jan 1, 2 months

Configuration in the package

When creating

1. Create a new package
2. Under Activation mode select:
   • Immediately
   • First use
   • Fixed date
3. For "Fixed date": Enter the date
4. Save

Changing afterwards

Note: Changes only apply to new purchases!

Packages that have already been purchased retain their original activation mode.

Email communication

For "Immediately"

Purchase confirmation includes:

"Your 10 credits are available immediately and valid until Apr 15, 2025."

For "First use"

Purchase confirmation includes:

"Your 10 credits will be activated on your first booking. From then they are valid for 3 months."

Additionally upon activation:

"Your credits have been activated! They are valid until Jun 1, 2025."

For "Fixed date"

Purchase confirmation includes:

"Your 15 credits will be activated on Jan 1, 2025 and are valid until Mar 1, 2025."

Upon activation:

"Your January Special credits are now active! Enjoy your training."

Frequently asked questions

Can a customer with "First use" let credits expire without using them?

Yes, theoretically. There is no "expiry date" for non-activated credits. You could set a maximum "activation window" (e.g. "must be activated within 12 months"), but this is optional.

What happens with "First use" if the first booking is cancelled?

The credits remain activated. The activation date was the first booking, not the "first completed" booking.

Can I change the mode for a customer afterwards?

Not directly. You would need to:

1. Cancel/adjust the old credits
2. Add new credits with a different mode
